Frequently Asked Questions
Getting started
How do I open a merchant account?
Sign up from the merchant dashboard with your business details. A person reviews new accounts before they go live — riders are being asked to collect from real premises, so we check the premises are real. Once you're approved you can book straight away.
How do I become a rider?
Download the Kova rider app, register, and upload your National ID, driver's licence, vehicle registration, and a photo of yourself. A person reviews them and you'll hear back either way. You can't go online or accept work until your account is approved.
Where does Kova deliver?
Kova is live in Accra, Ghana. If you need deliveries somewhere else, email bernard@kovaonline.com and tell us where — it genuinely informs where we go next.
Is there a monthly fee or a contract?
No. There's no subscription, no joining fee, and no minimum volume. You pay per delivery, and every channel — web, app, WhatsApp, Telegram, and the API — is included at no extra cost.
Booking a delivery
What are the ways to book?
Five: the web dashboard, the merchant app on iOS or Android, a WhatsApp message, the Telegram bot, or the API. They all create the same delivery on the same account, with the same tracking and the same price.
How do I book on WhatsApp?
Register your number from your account and confirm the six-digit code we send you. After that, message DELIVERY on the first line, then PICKUP_ADDRESS, DROPOFF_NAME, DROPOFF_PHONE, DROPOFF_ADDRESS, and ITEM on their own lines. You'll get a tracking ID back. Only verified numbers can create deliveries, so nobody can book in your name.
Do I have to remember the WhatsApp format?
No — use the Telegram bot instead and it asks you one question at a time, with buttons. You can type a pickup address or just drop a location pin and Kova works out the street for the rider.
What's the difference between same-day and next-day?
Same-day is collected and delivered today, from GH₵50. Next-day is collected today and delivered tomorrow, from GH₵35. Same riders, same tracking — the only difference is the speed and the price.
Pricing
How is the fee worked out?
The base fee covers the first 20km — GH₵35 next-day or GH₵50 same-day. Beyond that you're charged per kilometre, and past 35km the per-kilometre rate drops. Most runs inside Accra never leave the included distance, so most deliveries cost exactly the base fee.
Could the price change after I book?
No. The fee is calculated and shown to you before the delivery is offered to any rider, and that's what you pay. There's no surge multiplier applied afterwards and no adjustment once it's delivered.
Does a bigger package cost more?
No. You tell us the package size so the rider knows what to expect and brings the right vehicle, but it doesn't change the fee. Only distance and speed do.
Am I charged if nobody picks it up?
No. You're not charged for a delivery no rider accepted, and you're not charged for cancelling before a rider collects.
Tracking and problems
How do I track a delivery?
Every delivery has a tracking ID that works in whichever channel you booked from — send STATUS followed by the ID on WhatsApp, use the menu on Telegram, or open it in the app or dashboard to watch the rider on a map.
Can I cancel?
Yes, free, any time before the rider has collected the package — from wherever you booked. Once it's picked up it's in motion and cancelling is no longer possible; contact support and we'll see what can be done.
What does "unassigned" mean?
No rider accepted the job within the time window. The delivery is still live — it isn't cancelled. Our team is alerted and places it with a rider by hand, and you'll see the status move once they do.
Something went wrong with a delivery. What now?
A rider can report a problem from the app, and it's recorded against the delivery with a reason rather than quietly disappearing — our team picks it up and follows up with you. If you need us first, email bernard@kovaonline.com with the tracking ID.
Can I talk to the rider?
Yes. Message them on the delivery itself, so the conversation stays attached to the job instead of living in somebody's personal chats.
For developers
Where are the API docs?
On the developer guide — base URL, authentication, every endpoint, the delivery lifecycle, and webhooks.
How do webhooks work?
Register a URL on your account and Kova posts each status change to it as it happens. You can list your webhook events, filter for failed ones, and replay any of them by hand, so a deploy window doesn't cost you events.
Is there a rate limit?
Yes — requests are limited per API key, and WhatsApp is limited to 10 messages a minute per number. If you're planning high-volume work, email bernard@kovaonline.com first and we'll talk about it.
